The Institute for Advanced Architecture of Catalonia (IAAC) is a centre for research, education and outreach based in Barcelona’s 22@ district, with the mission of envisioning the future habitat of our society and building it in the present. IAAC is a platform for the exchange of knowledge with faculty and students from over 40 countries, and runs EU-funded research projects in collaboration with institutions and partners across Europe.
Your Role
We are looking for an Admissions Manager to join our team in Barcelona. You will play a key role in shaping the student body and maintaining IAAC’s reputation as a global leader in advanced architecture education. From the first point of contact to enrolment, you will guide prospective students through their admissions journey — building relationships, generating leads and driving conversion.
Key Responsibilities
- Admissions Strategy: Develop and implement a goal-oriented admissions strategy that aligns with IAAC’s mission and objectives. Set measurable enrollment and conversion targets and key performance indicators (KPIs) to track progress and continuously improve the admissions process.
- Application Review: Evaluate applications with a goal-oriented mindset, ensuring a thorough and efficient selection process. Collaborate with IAAC’s program directors and coordinators to establish clear criteria and benchmarks for candidate evaluation.
- Relationship Management and Sales: Build strong relationships with prospective students, understanding their needs, interests, and motivations throughout the admissions journey. Actively guide prospects towards the most suitable IAAC programs, address questions and concerns, and develop relationships with a clear focus on conversion and enrollment.
- Recruitment Activities: Actively engage in recruitment activities with a focus on achieving specific targets for student enrollment. Attend events and conferences to promote IAAC, generate new leads, develop relationships, and attract high-potential applicants.
- Admissions Policies and Procedures: Develop and update admissions policies with a goal-oriented approach, ensuring they support the institute’s objectives while maintaining compliance with regulations. Streamline procedures and leverage technology to enhance efficiency and achieve admissions goals.
- Collaborative Partnerships: Collaborate closely with IAAC’s academic departments, faculty, and administrative staff to understand program requirements and student profiles, ensuring admissions decisions align with the institute’s goals.
- Data Management and Reporting: Maintain accurate records of applicant data and generate goal-oriented reports and analyses. Monitor key metrics, including lead generation, response rates, conversion rates, enrollment rates, and applicant demographics.
- Lead Generation and Nurturing: Proactively identify new channels, partnerships, and strategies to generate leads and attract prospective applicants. Collaborate with the marketing team to develop innovative campaigns and initiatives aimed at increasing brand visibility and generating qualified leads.
- Lead Nurturing and Conversion: Implement a goal-oriented sales approach to nurture leads throughout the admissions journey. Develop and execute effective communication plans to engage and guide prospective applicants through email campaigns, social media, calls, and personal outreach.
Qualifications
- Bachelor’s degree in a relevant field (e.g., education, business administration, communication, sales, marketing, or a related discipline). A master’s degree is preferred.
- Proven experience in admissions, student recruitment, sales, business development, or a related field, preferably in an international or educational institution.
- Demonstrated experience in lead generation, relationship management, sales, and conversion, with a strong track record of working towards targets and KPIs.
- Strong understanding of the global higher education landscape and trends in architecture and design education.
- Excellent communication and interpersonal skills, with the ability to engage with individuals from diverse cultural backgrounds.
- Strong sales and negotiation skills, with the ability to understand client needs, communicate value clearly, handle objections, and guide prospects towards a decision.
- Exceptional organisational skills and attention to detail, with the ability to manage multiple priorities and meet deadlines.
- Proficiency in English (both spoken and written) is essential. Fluency in Spanish is highly desirable.
- Familiarity with admissions management systems, CRMs, sales pipelines, and data analysis tools.
- Passion for architecture, design, and education, with a commitment to fostering a multicultural and inclusive learning environment.
Skills & Knowledge
- Proficiency in Microsoft Excel and Google Sheets, including advanced functions and data analysis capabilities.
- Experience in managing a school applications portal or similar online platforms.
- Experience with CRMs, admissions management systems, and sales or lead management software.
- Proven experience in lead generation, lead qualification, lead nurturing, sales, lead conversion, and application conversion methodologies.
- Experience working with sales targets, KPIs, conversion funnels, and pipeline management.
- Strong follow-up, communication, negotiation, and relationship-building skills, with a proactive and target-oriented approach.
Optional
- Knowledge of WordPress, including the ability to update and maintain website content, create landing pages, and manage online forms. Proficiency in HTML and CSS would be an advantage.
- Familiarity with the setup and management of Salesforce or other CRM software.
- Familiarity with Admissions Management software such as DreamApply, Embark, Salesforce Education, or other.
Salary Range
The annual gross income for the position ranges from €27,000 to €30,000, depending on the candidate’s experience and skills.
Starting Date & Hours
This is a full-time, in-person position requiring 40 hours per week, from Monday to Friday. The work hours are from 10:00 to 14:00 and from 15:00 to 19:00. One remote work day per week is included. The position is available for immediate start.
